How to choose a school ERP in 2026: a 7-point checklist

Buying school management software is a multi-year decision. Use this 7-point checklist to compare vendors on the things that actually matter — data ownership, parent experience, and total cost.

Switching to a new school ERP is one of those decisions you live with for years. The demo always looks polished — the real question is how the software behaves in week three, when 400 parents are trying to pay fees at once and a teacher needs a report card by 4 PM. Here is a checklist we give schools evaluating any vendor, including us.

1. Does one platform cover the whole journey?

Admissions, fees, attendance, exams, transport, and communication should share a single database. If results and fees live in separate tools, someone re-enters data — and re-entered data is wrong data. Ask to see a student record flow from enquiry to report card without a spreadsheet in the middle.

2. Who owns your data?

Your student, fee, and result data is yours. Confirm you can export it in full — not a PDF, but structured CSV or database dumps — at any time, without a fee. A vendor that makes leaving hard is telling you something.

3. Is the parent experience genuinely good?

Parents are your largest user group and your loudest critics. Pay fees in one tap, see attendance and results instantly, get notices without installing yet another clunky app. Open the parent view on your own phone during the demo — not the salesperson's.

4. How does it handle fee collection and reconciliation?

Online payments are table stakes. What separates good software is what happens after the payment: automatic receipts, reminders for defaulters, and reconciliation that matches every rupee to a student without manual matching. Ask how refunds and partial payments are handled.

5. What does onboarding actually involve?

The honest question is "how long until we go live, and who does the data migration?" A good vendor migrates your existing students, fees, and staff for you and trains your team once. Most schools should be live within a week — if the answer is "a few months," ask why.

6. Does it integrate with what you already use?

Payment gateways, SMS/WhatsApp, accounting, and government reporting formats. You do not need every integration on day one, but you need a platform that can grow with you rather than boxing you in.

7. What is the total cost — and what triggers it to rise?

Per-student pricing is easy to compare on paper and easy to game in practice. Ask what is included versus billed extra (SMS, storage, support, modules), and exactly what happens to your bill as you add students. Predictable pricing beats a low headline number every time.

Score every vendor the same way

Take this list into each demo and score honestly. The right ERP is the one that still looks good on point 3 and point 7 six months in — not the one with the flashiest dashboard.
